Player ADD Deadlines

League Deadlines for Player ADDS (includes new players and transfers):

  • SJGSL (Girls): Turn into Registrar by October 14, 2011
  • SJSL (Boys): Turn into Registrar by October 30, 2011

You may still add players for end-of-season tournaments, but they may not play in remaining Fall Season league matches. For ADDS submitted after the above deadlines, I will hold the paperwork until the conclusion of the respective league's Fall season.

Photos go in the UPPER LEFT portion of the pass. This is extremely important to the efficient processing of your packet.

Of course, all other photo conditions need to be met:

  • Color photos
  • Not laminated!
  • Identification pose (DL/passport quality)
  • Good print quality (no bleed lines)
  • Proper size
  • Do not crop to the edge of the face
  • Allow room on the photo for the stamp without obscuring features
  • No hats!
  • Good contrast/clarity - it is for identification!

Policies for Small Sided Teams and Players

  1. Small sided only applies to outdoor teams, U10 and under.

  2. Small-sided teams will register using the same procedures as full side teams with the exception that only a maximum of 14 active players can be on the rosters. Leagues may restrict their roster size to 12.

  3. Small-sided teams can only travel to small-sided tournaments that are non-results oriented. Non result oriented tournament provide all participants with participation awards and not trophies to winners. Small-sided teams may never travel as a full-sided team.

  4. A small-sided team can not grow to a full-sided team during the current seasonal year.

  5. Secondary passes are not permitted on small-sided teams.

Definitions of Small Sided Players and Teams

  • Small-sided Teams are limited to a total of fourteen players on the roster at any one time and may have a maximum of seventeen different players on the roster during the seasonal year (originally rostered players plus adds and transfers regardless of how many players have been released). Small-sided teams may not convert to a full-sided team during the seasonal year.

  • U6 Players cannot hold a travel team pass and can not play travel team soccer. They may of course participate in the Club's Recreation program.

  • U7 Players can play on a U8 Travel Team providing a majority (defined as 50% +1) of the team are U8. U7 players can only play U8 Travel Team Soccer not higher. Whether a U7 player can play up on a U8 team is a club decision. U7 players cannot play out of state.

  • U7 Teams are not permitted in travel soccer by NJYS.

  • U8 Players can play on a U8, U9, or U10 travel team. Whether a U8 player can play up on a U9 or U10 team is a club decision. U8 players cannot play out of state.

  • U8 Teams can only have U7 and U8 players on their rosters.

  • U9 Players can play on a U9 or U10 travel team. Whether a U9 player can play up on a U10 team is a club decision. U9 players cannot play out of state.

  • U9 Teams can only have U9 and U8 players on their rosters.

  • U10 Players play on a U10 team. U10 players can play up on a U11 team as long as a majority (defined as 50% +1) of team are U11 players. U10 players cannot play out of state.

  • U10 Teams can have U10, U9 and U8 players on their rosters.

References to players that cannot play out of state are when the player is playing up. E.g. A U9 team may play in an out of state tournament with permission to travel but if it has a U8 player, that player may not play.

This will produce the new NJYS player registration form for each player on your roster, the new NJYS volunteer coach registration form for each of your coaches, give you a master roster for your own use, and provide you with a set of four lineup sheets for the back of game cards that you can print out as needed. It reflects that pass numbers are now generated by GotSoccer and will not always include the team number.

State Cup Teams - Important: Once your roster has been submitted to the tournament, it is frozen for Player transactions. If you make any changes to your player roster after that date, you will be disqualified from the tournament. A change is considered to have occurred on the date that the Add or Release form was signed by the player, not the date on which it was processed by the commissioner. Coaches may be added or released without consequence to the State Cup.

Use ONLY the email and phone number above to contact me regarding D8 business. I will have two bins on my front porch, one marked "SOCCER IN" and the other "SOCCER OUT". Coaches should place their packets into the IN bucket and look for completed packets in the OUT bucket after I email you. 

Indicate on the OUTSIDE of the packet if there are any special notes or instructions inside that you want to bring to my attention (an email in advance is a good idea). In general, I will process packets in the order received. If there are issues with a packet I will put it aside and process any others pending. Review your packets for completeness and proper form before you drop them off so as to not delay your turnaround time.

Drop off packets at least seven days before you need to pick up the roster and passes (before a tournament registration or before a league meeting or before the league roster deadline). Include a legible email address and telephone number on the outside of your packet.

The team age is determined by the oldest player on the team.  If a team has 17 U13 players and one U14 player, the entire team is a U14 team.  Note the age grouping is determined by the age of the oldest player on the team when the team is originally rostered.  The age grouping cannot be changed by subsequently adding or dropping players. Girls may play on boys teams, but a girls team may only have girls. This should be managed by GotSoccer, but the requirements must be followed regardless.

If you are a U11 team, you must have a majority of true U11 players on your roster. You may have U10 players as long as more than half are U11, but you CANNOT have U9 or U8 players on a U11 roster. U10 players CANNOT be on a U12 roster. You may have U8 players on a U10 roster, but due to the two limitations above, you should probably avoid it. Otherwise, you will not be able to retain those players when the team progresses. This should be managed by GotSoccer, but the requirements must be followed regardless.

The State has formalized that a Coach must possess one of the following to be carded:
     1) a New Jersey "F" license; or,
     2) an "E" or "D" license issued by NJYS prior to Aug 1, 2010; or,
     3) an "E" license or higher issued by any state along with a valid
         Rutgers S.A.F.E.T.Y. card.

Player pass numbers do NOT have to begin with the Team number. In general, all players put on the roster when the team is added will have a Player number that looks like the team number. Players added later - after the initial roster - may have what appears to be a random Player number. This is OK. As a rule of thumb - if GotSoccer prints the roster, the information is acceptable (see point above and point below).

For U11 teams, U10 players (but not U9 or U8) may be rostered. You must have a majority of your players as U11 (majority means "MORE than half"). A twelve-player roster must have SEVEN U11 players. GotSoccer is supposed to prevent you from having seven or more U10 players on an U11 roster (maximum roster size), but it DOES NOT check for "more than half" for rosters with fewer than fourteen players. It is still the Club and DC's responsibility to do so.

Passes

  • Extreme care should be taken when completing member passes. All corrections MUST be made by GotSoccer and reprinted. Sign legibly on passes.

  • The players' pictures must be recent. Photocopies of pictures are not acceptable. Do not use Polaroid pictures, as they will peel apart.  Do not use a picture from a previous year's pass.

  • Make sure that the photo is large enough and clear enough for identification without deep shadows (like a passport photo). Glue (not tape) photos to the pass in portrait mode (head to the top), not sideways!

  • Do not trim around the face for photos. Leave them squared off and leave a couple inches (relative to the size of the face - about 1/4 inch of photograph) below the chin for the validation stamp.

  • The player must sign pass and membership form - it is for identification verification. Contact the DC with any issues.

  • Remove and retain player membership cards - do not submit them to me.

  • Include the out-of-state Pass for any out-of-state players in your packet to be processed along with their GotSoccer pass and the Permission to Play form.

Coaches' Documents

  • You must provide a legible copy of an "F" or higher license, and documentation of the Rutgers S.A.F.E.T.Y. certification (the NJYS "F" license meets this requirement).

  • You must roster all coaches for your team, even if they have a pass from another team.

  • Obtain Youth Trainer passes from the State office.

  • Paid trainers/coaches must have a paid trainer pass issued by the State office. No information needs to be submitted to the District Commissioner.

Roster

  • Your roster will be produced and printed by GotSoccer. Make sure you print the roster form that has the large box at the bottom for the NJYS District Commissioner stamp, and not a tournament roster!

Other Documents

  • Highlight the birth date on birth certificates (circle or use highlighter). Do NOT highlight a photo copy that was previously highlighted (thereby obscuring it). I MUST be able to read the date of birth!

  • Keep a copy of the birth certificate or other proof of age for each of your players for future use. This is "just in case" - you will get the copy you submit back.

  • The Medical Release can be signed by an attorney. Prior year Medical Release forms are acceptable provided none of the pertinent information has changed. If it has, do not make corrections on the old form, submit a new form with the correct information.

  • The Membership Form must be signed by the player.

Arranging Documents

  • Paperclip the documents in this order:

    • player pass - be careful that the paperclip does not scratch the photo!

    • NJYS membership registration form

    • NJYS medical form

    • proof of age

  • Stack the paper-clipped sets of documentation in the same order as listed on the Roster. This is required.

  • Have someone review your packet to check all of the items before you submit it. Club Representatives are a great resource to review your packet - use them.

  • Include legible email address and telephone number on the outside of the packet envelope.

Include a legible email address and telephone number on the outside of your packet. Once your roster has been validated, any Adds or Transfers are subject to NJYS roster limits. Email is the preferred communication medium. Telephone calls may not be returned for several days.

Add/Transfer/Drop Information

Once your roster has been validated, you no longer need an ADD form to add additional players or coaches. You are still subject to NJYS roster limits.

To ADD a player that has not yet been carded to any NJYS team roster in the current seasonal year, submit the following:

  • player pass with photo GLUED

  • NJYS membership registration form

  • NJYS medical form

  • proof of age

  • Original and TWO COPIES of your updated GotSoccer roster

A TRANSFER is the ADD of a player to your team that has been previously carded to any NJYS team roster (regardless of league) during the current seasonal year. If you enter a player's name and date of birth for an ADD into GotSoccer, and GotSoccer says the player is already in the system, STOP! Do not spell the name differently to get the player accepted. Call the DC or the State Office and verify if the player has been previously carded. As a suggestion, you should always clearly ask a player joining in mid-year if he or she played ANY organized soccer and err on the side of caution until you know for sure.

For TRANSFERS, submit the following:

  • player pass with photo GLUED

  • NJYS membership registration form

  • NJYS medical form

  • proof of age

  • original and TWO COPIES of your updated GotSoccer roster

  • By NJYS rule, U11 and above players transferring between clubs must sit three league matches following acceptance of the new player by your league Registrar (not me!) - your league may have additional restrictions.

  • a copy of the RELEASE form is no longer required for the new team.

To RELEASE a player that has been previously processed by me and carded to a NJYS roster, submit the following:

  • original player pass - You MUST return the player pass for the released player or I cannot process the RELEASE.

  • Original and THREE COPIES of  a player-signed NJYS RELEASE Form.

  • The player is ineligible to play for the releasing team once the player signs the release form. The release must be at the player's request. If U11 or above, the player must be advised of the transfer restriction and sit-out requirement.

If the player was originally processed by a different District Commissioner, you must submit the RELEASE form to that commissioner.

To ADD a volunteer coach that has not yet been carded to any NJYS team roster, submit the following:

  • coach pass with photo GLUED

  • NJYS volunteer registration form

  • proof of F license

  • original and TWO COPIES of  your updated GotSoccer roster

To ADD a non-volunteer coach or youth trainer, you process the coach through GotSoccer. You only submit an original and TWO COPIES of your updated roster to the District Commissioner (no other documents).

If you are unsure of the mechanics of processing a player or coach Add/Transfer/Release, contact your Club Representative.

Here are some guidelines for ADDS and RELEASES.

  • ALWAYS bring a copy of your previously approved roster when requesting a roster modification. Otherwise, I have to go looking through my file drawers to find out what the changes are. For 2011-2012, I will REJECT roster modifications that are submitted WITHOUT the most recent approved roster,

  • GotSoccer manages what we used to call a TRANSFER as a RELEASE and then an ADD.

  • For a RELEASE, the player must request it, must sign the form, and must be advised that they must sit out three matches (if U11 or greater player, or a U10 boys player on a SJSL team). This does not apply to intra-club transfers and to U8-U10 except U10 boys). When you submit the RELEASE, include your old roster and THREE new rosters.

  • For an ADD, include the following:

    • Properly executed player pass

    • Appropriate photo attached

    • NJYS Membership Form

    • NJYS Medical Release Form

    • Birth Date Documentation (DOB circled!)

    • THREE new rosters

    • Old roster
